What you need:

• WhatsApp Business Platform number via Meta or a UK partner. Twilio is a common gateway.
• A Make.com or Zapier account. Make tends to be cheaper and better for file handling.
• A Google Drive company account (preferably Google Workspace so folders can be shared safely).

High-level steps (Make.com example):

1. Create a WhatsApp Business app and connect a number

• Start at Meta Business > WhatsApp > set up a test number, then connect your live number via a provider such as Twilio. Note: moving a number from the consumer WhatsApp app to API is one-way while active.

1. Webhook to receive messages

• In Make, create a webhook to receive inbound WhatsApp messages from your provider. Capture: from number, message text, media URL, media type, timestamp.

1. Parse the job reference

• Agree a simple format the team and customers can use, e.g. include JOB-1234 in the message or as the first word in the caption.
• Use Make text functions or a small RegEx to extract the job ref.

1. Look up or create the job folder

• Drive module: search for a folder named JOB-1234 under /Jobs/2025.

Useful if you can’t move to the API yet.

1. Shared phone number + Google Photos backup

• Keep one Android phone as the intake WhatsApp.
• Turn on Google Photos backup for WhatsApp Images so the office can see the latest media via photos.google.com.
• A weekly admin task moves photos into Drive job folders. Use consistent search like job refs and dates to batch move.

1. Email-to-Drive bridge

• From WhatsApp, use the Share menu to email photos to a unique address such as jobs+JOB-1234@yourdomain.co.uk.
• Use a Gmail filter + Google Drive automation (Apps Script or Make) to detect that alias and save attachments into the matching folder.
